How to automate repetitive tasks
Kahu team·Updated 2 Oct 2026·6 min read
List the tasks you do the same way every week, pick one that is frequent, rule-based and low-risk, and automate it with the tools you already use, such as templates, scheduled sends, simple automation tools or an AI assistant. Keep a person approving anything that involves money, complaints or a customer’s first impression.
Find the right tasks
The best tasks to automate are boring, frequent and predictable. If you could write the steps on a sticky note and a new staff member could follow them, a tool can probably do them too.
- Copying details from an enquiry into a spreadsheet or CRM.
- Sending the same confirmation, reminder or thank-you message.
- Chasing unpaid invoices or unanswered quotes.
- Posting the same update to several channels.
- Creating the same weekly report.
Three levels of automation
| Level | Example | Good for |
|---|---|---|
| Templates and shortcuts | Saved replies, email templates, text expanders | Anything you type more than twice a week |
| Rule-based automation | When a form is submitted, add a contact and send a confirmation | Predictable steps that never change |
| AI assistance | Read the enquiry, draft the reply, suggest the next step | Tasks that need a little judgement |
How to start
- 1Track a normal weekNote every task you repeat and roughly how long it takes.
- 2Pick oneChoose the task that is frequent, rule-based and low-risk. Not the biggest one.
- 3Use what you already haveYour email, calendar, accounting and booking tools often have automation built in.
- 4Run it alongsideFor a week, let the automation run while you check its work.
- 5Then let it runOnce it is reliable, check it weekly instead of every time, and move to the next task.
What to keep manual
Automate the routine, not the relationship. Keep a person on quotes and prices you have not published, complaints and refunds, and the first reply to a new customer if your business depends on personal service. An automation that sends the wrong message quickly is worse than a slow manual one.
Frequently asked questions
Do I need to know how to code?
No. Most small-business automation is set up through menus in the tools you already use, or with no-code tools that connect apps together.
How much time can automation save?
It depends on the task. Start with one that takes an hour or more a week. The savings add up quickly once several tasks run on their own.
What is the difference between automation and AI?
Automation follows fixed rules. AI can read and write, so it handles tasks with some variation, but its work should still be checked.
