How to work faster using AI

Use AI for first drafts, summaries and rewording, not final answers. Give it the context a new colleague would need, ask for the format you want, and reuse prompts that work. The time saved comes from editing a good draft instead of starting from a blank page, so keep a quick check before anything goes out.
Where AI actually saves time
AI is fastest at work that starts from a blank page or a wall of text. It is slowest, and riskiest, at work that depends on facts it does not have. Aim it at the first kind.
- First drafts of emails, quotes, proposals and posts.
- Summaries of long emails, documents and meeting notes.
- Rewording: shorter, friendlier, more formal.
- Turning rough notes into a tidy list, table or checklist.
- Brainstorming options when you are stuck.
Write requests that work first time
Most wasted time with AI comes from vague requests followed by five rounds of corrections. A good request has four parts:
| Part | Example |
|---|---|
| Who it is for | A customer who asked about weekend availability |
| The facts | We open 9 to 2 on Saturdays, closed Sundays |
| The format | Three sentences, friendly, end with a booking question |
| What to avoid | No discounts, no promises about next month |
Build a small prompt library
- 1Notice repeatsAny request you make more than once a week is a candidate.
- 2Save the version that workedKeep it in a note with gaps to fill, such as the customer’s name and question.
- 3Add your facts oncePaste your services, hours and tone rules into the saved prompt, or into the tool’s custom instructions if it has them.
- 4Improve it as you goWhen you correct a draft, update the prompt so you do not correct it again.
Check quickly, not endlessly
A fast check is part of working fast. Read the draft once for facts: names, dates, prices and promises. Then once for tone: would you say this out loud? If a draft needs more than a couple of edits, the request was missing something, so fix the request rather than the draft.
Some work should not be sped up. Complaints, sensitive conversations and anything legal or financial deserve your full attention, with AI at most helping you organise your thoughts.
Frequently asked questions
Which AI tool is fastest for everyday work?
The one you already have open. The assistant built into your email, documents or business software saves the most switching.
How do I stop AI sounding generic?
Give it an example of your own writing and your actual facts, and tell it which phrases to avoid.
Is it safe to paste work documents into AI?
Only if your plan and your business policy allow it. Leave out customer details and passwords unless you are sure how the tool handles them.
