Quick answer

Automate the messages that are sent the same way every time: booking and order confirmations, reminders, status updates and thank-yous. Write each one as a short template with the customer’s details filled in, send it on the channel the customer uses, and keep promotional messages separate, because they need consent.

The messages that write themselves

Many customer messages are not conversations at all. They are the same few lines triggered by the same event, typed out by hand dozens of times a week. These are the easiest wins in any small business.

  • Booking or order confirmation.
  • Reminder the day before an appointment.
  • On my way, or your order has shipped.
  • Job complete, with a thank-you and any care instructions.
  • Invoice sent, and a polite reminder if it is overdue.

Write templates people want to read

  4. 4Sound like youRead it aloud. If you would never say it at the counter, rewrite it.

On the WhatsApp Business Platform, a business can send free-form messages within 24 hours of the customer’s last message. Outside that window, it can only send pre-approved template messages, which are charged by category and country. Plan your reminders as approved templates.

Keep service and marketing apart

A confirmation or reminder about something the customer booked is service. A special offer is marketing. Under New Zealand’s Unsolicited Electronic Messages Act, commercial messages need consent, accurate sender details and a working unsubscribe option. Keep promotional content out of your service templates.

Frequently asked questions

Do automated reminders reduce no-shows?

Many businesses find a reminder the day before helps. Track your own no-shows before and after to see the difference.

Can customers reply to automated messages?

They should be able to. Make sure replies land in your inbox, not a no-reply address.

What tools can send automated messages?

Most booking, invoicing and CRM tools have them built in. Check what yours already does before adding another tool.
