Quick answer

Set simple rules that send a short follow-up when a conversation stalls: a nudge if a customer has not replied to your question or quote, a check a few days after a problem is fixed, and a review request after a good result. Stop as soon as the customer replies, cap the number of nudges, and keep a person on anything sensitive.

Follow-ups inside the conversation

Most conversations do not end with a no. They end with silence. The customer got busy, meant to reply and forgot. A short, well-timed follow-up rescues many of them. Doing it by hand means remembering who you are waiting on. Doing it automatically means a rule remembers for you.

Four follow-ups worth automating

  • Waiting on the customer: they asked about a booking and went quiet after your answer.
  • Quote sent: no reply after a few days.
  • Problem fixed: a check that everything is still working.
  • Happy result: a polite request for a review.

Rules that keep it polite

  1. 1Stop on replyThe moment the customer answers, every scheduled follow-up is cancelled.
  2. 2Cap the nudgesOne or two follow-ups, then close politely. More than that feels like chasing.
  3. 3Leave a gapGive people a few days. A nudge an hour later reads as pushy.
  4. 4Make it easyEach nudge asks one simple question, such as would Thursday still suit?
  5. 5Skip the unhappyNever send a review request to a customer who complained. A person should follow up instead.

Mind the channel rules

On WhatsApp, the Business Platform lets you send free-form messages within 24 hours of the customer’s last message. A follow-up sent later must use a pre-approved template. If your follow-ups run on WhatsApp, prepare template versions in advance. Promotional follow-ups also need consent under New Zealand’s spam law.

Let AI write the nudge

A generic just checking in works less well than a nudge that refers to what was actually said. AI can draft each follow-up from the conversation, mentioning the date, the service or the question that was left open. Review these drafts until you trust them.

Frequently asked questions

How long should I wait before following up?

A few days for most questions and quotes. Shorter for urgent bookings, longer for big decisions.

How many times should I follow up?

Once or twice. After that, close the conversation with a friendly note that leaves the door open.

Is automatic follow-up annoying?

It is annoying when it is generic or does not stop. Short, specific messages that stop on reply rarely are.
