What is an AI agent?

An AI agent is software that takes a goal, works out the steps, uses tools like your calendar, website and inbox to complete them, and checks its own work. A chatbot only answers; an agent acts.

The short definition

A chatbot waits for a question and gives an answer. An AI agent is given an outcome, such as “fill Thursday’s empty slots” or “reply to every enquiry from last night”, and then plans the steps, uses the tools it has been connected to, and reports back. The difference is that it can act, not just talk.

Under the hood an agent is a large language model wrapped in a loop: read the goal, decide the next step, call a tool, look at the result, repeat until done or until it needs to ask you something. The model provides the judgement; the tools provide the hands.

Agent vs chatbot vs automation

• Automation follows a fixed rule: if a form is submitted, send this email. Fast and reliable, but it breaks the moment something unexpected arrives.
• A chatbot answers questions from a script or a knowledge base. Useful for FAQs, useless when the customer wants something done.
• An agent combines both. It handles the unexpected because it can reason, and it gets things done because it can use tools. The trade-off is that you need guardrails on what it may do without asking.

What an AI agent can do for a small business

The tasks that suit agents best are the ones that are repetitive but not identical: every enquiry is slightly different, every week’s social posts are slightly different, every reminder text depends on who booked what.

Where agents still need a human

Anything with money, promises or reputation attached. A good agent drafts the refund reply; you send it. It proposes a price; you confirm it. The best setups use an approvals step: the agent does the work, you tap yes, and over time you widen what it may do alone.

How to try one without risk

Start with a single task you already do every day, such as replying to new enquiries. Connect only the tools that task needs. Keep approvals on for the first two weeks, read what it drafts, and correct it in plain language. If it saves you an hour a week, add the next task.
