Quick answer

An AI assistant is software you ask for help in plain language, by typing or speaking, and it answers or does a task for you. Voice assistants set timers and reminders, chat assistants draft and explain, and business assistants work with your own customers, messages and calendar. The best ones draft and suggest, and you approve.

Three kinds of AI assistant

KindWhat it doesExamples of tasks
Voice assistantShort spoken commands on a phone or speakerSet a reminder, call someone, play music
Chat assistantConversations, writing and explanationDraft an email, summarise a report, brainstorm
Business assistantWorks inside your own tools and dataDraft a reply to a customer, suggest a follow-up, prepare a post

The difference that matters most is what the assistant knows about you. A general chat assistant knows a lot about the world but nothing about your business unless you tell it each time. A business assistant is connected to your own information, so its drafts can use your real services, hours and customer history.

What an AI assistant can take off your plate

  • First drafts of replies to common questions.
  • Summaries of long email threads or chats before you call someone back.
  • Suggested next steps, such as a follow-up for a quote that went quiet.
  • Social posts and short marketing copy from a few notes.
  • Turning messy notes into a tidy list or plan.

Assistant, chatbot or agent?

A chatbot usually answers customers on your behalf, often from a fixed script. An assistant works for you, helping you do the work. An agent goes further and carries out multi-step tasks on its own. The lines blur between products, so look at what a tool actually does and who it talks to, not what it is called.

Keeping a person in charge

  1. 1Start with draftsLet the assistant prepare, and you send. Move to automatic only for low-risk messages you have checked many times.
  2. 2Give it your factsWrite down your services, prices and policies so it does not guess.
  3. 3Set clear no-go areasComplaints, refunds and unpublished prices always go to a person.
  4. 4Review regularlyRead a sample of what it drafted each week and correct anything off.

Frequently asked questions

Is an AI assistant the same as a virtual assistant?

No. A virtual assistant is usually a person working remotely. An AI assistant is software, though it can handle some of the same routine tasks.

Can an AI assistant reply to customers for me?

It can draft replies, and some tools can send them. Approving each reply yourself at first is the safest way to start.

Is my information safe with an AI assistant?

It depends on the provider. Check how your data is stored, who can see it, and whether it is used for training.
