A spreadsheet is fine while one person can remember every customer. Switch to a CRM when leads arrive in more than one place, when more than one person replies, or when a follow-up slips because nobody saw it. For most small businesses that happens somewhere around 50 active customers.
What a spreadsheet does well
A spreadsheet is free, flexible and already open on your laptop. For a handful of customers it is genuinely the right tool: one row per person, a column for status, a column for the next step. Nothing to set up and nothing to learn.
The trouble is not the spreadsheet. It is everything around it. Enquiries arrive on WhatsApp, by email and through your website form, and each one has to be typed in by hand. The day you are busy is the day the sheet stops being updated, and a sheet that is a week out of date is worse than no sheet, because you trust it.

- A quote went quiet and nobody noticed for two weeks.
- Leads arrive in three places and only one of them reaches the sheet.
- Two people reply to customers and you are never sure who answered whom.
