How to automate lead follow-ups

Capture every lead in one list, set three follow-up points (same day, day three, day ten), have AI draft each message from the original conversation, and approve them in a batch each morning. Most businesses recover 20 to 30 percent of quiet quotes this way.
Why follow-ups get skipped
Not laziness. The lead arrives on WhatsApp, the quote goes by email, the reminder lives in your head, and by Thursday there are twelve of them. Automation fixes the structure, not the person.
Step 1: one list
Every enquiry, from every channel, becomes a contact with a status: new, quoted, waiting, won, lost. If it is not on the list, it will not be followed up. An AI CRM does this capture for you.
Step 2: the three-touch rhythm
- Same day: confirm you received the enquiry and when they will hear back. Instant reply, no approval needed.
- Day three: a short, friendly check-in. “Did the quote make sense? Happy to adjust.”
- Day ten: a last nudge with a reason to decide, such as availability next month, then mark it quiet.
Step 3: let AI write them from context
A template says “Hi {name}, following up on your quote.” A good AI draft says “Hi Priya, did the deck quote land okay? If the stain colour was the sticking point, there are two cheaper options.” It reads the original conversation and writes like you. Approve a batch with your morning coffee.
Step 4: stop at no
Three touches, then quiet. Anyone who says no is marked lost and never chased again. Anyone who says “not now” gets one reminder when they said. Over-following-up costs reviews.
What to measure
Quotes sent, quotes won, and how many of the won ones came after a follow-up. That last number is the payoff, and it is usually bigger than owners expect.
