What does CRM software do?

CRM software keeps one record for every lead and customer, collects their messages and details in one place, shows where each sale stands, reminds you what to do next and reports what is working. In short, it remembers your customers so you do not have to.
The short version
A CRM, or customer relationship management system, is a shared memory for your business. Every enquiry, quote, booking and conversation is attached to the person it belongs to. Anyone on the team can open a customer and see what happened, what was promised and what comes next.
The six jobs a CRM does
- 1Captures enquiriesNew leads arrive from your website form, email or messaging channels and become records without anyone typing them in.
- 2Remembers everythingContact details, past purchases, notes and every message sit on one record, so nobody asks a customer the same question twice.
- 3Shows the pipelineEach open sale sits in a stage, such as new, quoted or won, so you can see at a glance what needs attention.
- 4Reminds youTasks and follow-ups are due on a date. A quote that goes quiet surfaces instead of disappearing.
- 5Helps you communicateEmails, messages and templates go out from the record, and the replies come back to it.
- 6Reports what worksWhich channel brings the best customers, how many quotes turn into sales, and how long it takes.
What a CRM does not do
A CRM will not find customers for you, and it will not fix a slow reply or a confusing offer. It also only knows what reaches it. If half your enquiries stay in one person’s phone, the CRM shows half the picture. The value comes from connecting the places customers already contact you and from the team using it every day.
Many CRMs now include AI that can summarise a conversation or draft a reply. That is useful, but it is still drafting. A person should check anything that quotes a price, makes a promise or answers a complaint.
Signs you are ready for one
- Enquiries arrive in more than two places.
- More than one person talks to customers.
- You have lost a sale because a follow-up was forgotten.
- You cannot say where your best customers came from.
- Your customer list lives in a spreadsheet that is often out of date.
Frequently asked questions
Is a CRM only for sales teams?
No. Service businesses use it for bookings and repeat work, and sole traders use it to keep track of quotes and follow-ups.
What is the difference between a CRM and a contact list?
A contact list stores names and numbers. A CRM also stores the history, the stage of each sale and the next step, and it reminds you.
How long does it take to set up?
A simple CRM can be running in an afternoon: import your contacts, set three or four pipeline stages and connect your enquiry form.
